How we handle personal information.

What this notice covers.
This notice explains how Factum Aerial collects, uses, stores and discloses personal information. Factum Aerial is a trading name of Factum Pty Ltd. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
It applies to the website at www.factumaerial.com.au, to enquiries made by phone or email, and to information we collect in the course of a job. It does not cover the websites of other organisations that we link to.
What we collect.
When you send an enquiry through our website, we collect the details you enter in the form: your contact details, the service you are asking about and the information you give us about the job. If you contact us by phone or email, we collect the details you give us and a record of the conversation where it is relevant to the job.
Our website is delivered through a content delivery network and the enquiry form is handled by a form service. These providers record standard technical information such as your IP address, browser type, the pages you visit and the time of your visit. Some of these providers store data on servers outside Australia.
During a job we collect the information needed to plan and fly it: the site address, access arrangements, the contact details of the person on site, and the imagery and data we capture.
Imagery captured on a job.
Aerial imagery can incidentally include neighbouring property, vehicles or people who are not part of the job. We plan each flight to capture only what the job needs, and we frame, crop or exclude incidental material where it is practical to do so.
We do not publish, share or use client imagery for our own promotion without the client's agreement. Imagery is delivered to the client and retained as part of the job file.
Where imagery incidentally captures a person who can be identified, we handle it as personal information under this notice. We do not use incidental captures for any purpose other than delivering the job.
How we use it.
We use personal information to respond to enquiries, to scope and quote work, to plan and conduct flights, to deliver the agreed imagery and data, and to invoice for the work. We also use it to keep records of the jobs we have completed.
We may use your contact details to follow up on an enquiry or a completed job. We do not send marketing email unless you have asked for it, and you can opt out at any time.
Who we share it with.
We do not sell personal information. We share it only with the service providers we use to run the business, such as the content delivery network, the form service, cloud storage, email and accounting software, and only to the extent needed for them to provide their service.
We may disclose personal information where we are required to by law, for example in response to a court order or a request from a regulator or law enforcement agency.
Some of our service providers store data outside Australia. Where that happens, we take reasonable steps to ensure the provider handles the information in a way that is consistent with the Australian Privacy Principles.
How long we keep it.
Job files, including imagery, data and correspondence, are retained for seven years to meet business and tax record-keeping requirements unless we agree otherwise with the client. After that period they are deleted or securely destroyed.
Enquiries that do not proceed to a job are deleted once it is clear the work will not go ahead. Website logs are kept by our providers for their standard retention periods.
We store information on password-protected devices and in cloud services with access controls. Access is limited to what the work requires.
Cookies and tracking.
Our website does not use advertising cookies or third-party tracking. The content delivery network and form service may set cookies that are strictly necessary for the site to load and for the form to work.
The site does not depend on these cookies and works if they are blocked.
Access, correction and complaints.
You can ask us for a copy of the personal information we hold about you, or ask us to correct it. We respond to these requests within 30 days. We may need to verify your identity before releasing information.
Complaints about how we have handled personal information can be made to us directly. We look into every complaint and reply within 30 days. Complaints can also be made to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

We review this notice from time to time and update it when our practices or the law change. The current version is always published on this page, with the date it was last updated shown at the top.
